Which features help you identify high-quality candidates more easily?

L.

This was very much led by the recommendations of my dedicated Consultant when I was starting to learn how to use Expr3ss!

The interview priority stars, fit to role insights and those quick preview items, that's really where we start, because if the system is telling you that they're a good fit, typically they are.

We have also done a little bit of backwards reporting you might say, of who we've hired, and we always end up hiring people with higher star ratings. That's the reality.

Which Expr3ss! features do you find the most beneficial?

L.

There are many Expr3ss! features that I could comment on. One useful feature I discovered is the seamless Expr3ss! Notifications. We can stay engaged with candidates with the ability to switch on Notifications for our team members. So we are able to really quickly and easily respond to candidates when they're engaging with our team about their application in Expr3ss!

The support that the team at Expr3ss! provides us via the Live Chat function within Expr3ss! is fantastic too.

When I'm not sure where to find a report or how to access a particular piece of data on a candidate, I pop a question into Live Chat and within 5 seconds someone is responding to me, which is just wild. And that it's actually a person answering you as well!

When you're in Expr3ss! looking at a candidate, there's some really simple quick previews that make it so easy from a recruitment perspective to quickly shortlist. On top of what Expr3ss! provides in terms of the star ratings, it's the quick previews around work availability, remuneration expectations, all of those factors make it so easy to make quick shortlisting decisions. We can quickly see which companies they might have worked at previously, their fit to the role, fit to the business, all of those things. It just makes it so easy for me.

Which features have helped reduce the time spent on recruitment tasks to speed up your time-to-hire?

L.

I really like the ability to cite the preview of the CV, so you can really quickly look at a candidate's resume and all of their details, without having to download it each time. One thing that I found really helpful, the managers that hire don't always have access to Expr3ss!, or aren't super technically savvy, yet we have the ability to easily extract candidate information. You can really quickly, easily and securely send that candidate information to your hiring manager, which saves them so much time in terms of having the information they need to make hiring decisions.

How do the features within Expr3ss! support your communication with applicants?

L.

The bulk applicant communication within Expr3ss! is seamless. It's designed to ensure that we're maintaining that engagement with our candidates.

The Interview Q&A Templates we create within Expr3ss! for phone screening and the Email Templates for our correspondence, make sure that we’re maintaining the same level of service from an external recruitment perspective as well.

We took time to customise the templates to suit our recruitment process, after that it's just set and forget. There's just so much in Expr3ss!

I have been nothing but a fan since using Expr3ss! and I will continue to be a fan for many years to come, I'm sure.

Streamlining the hiring process

How has the Interview Priority Stars feature helped you prioritise which candidates to interview first?

L.

When we advertise for a receptionist, it’s not uncommon to get 300 candidates apply within the first day.

You need to be able to prioritise the candidates that fit the role the best, that's the reality and that's where the Interview Priority Stars within Expr3ss! comes into play.

For our high volume roles, we want to work smarter and not harder to ensure that we're getting to the candidates that might be applying for multiple roles out in the market, first.

How have your screening questions and video questions improved since using ShowReel Video?

L.

When I joined Jones Radiology we hadn't used the ShowReel Video feature before. We were having a lot of trouble getting our frontline managers available. They've got really busy schedules and we were trying to work out different creative ways of giving them a really holistic preview of a candidate, without needing them to take 3 hours out of their day to meet with these candidates and do all of the things that you need to do to prep to meet with candidates face to face.

It’s a high priority for us to make sure that our managers are involved in the recruitment process, because we want that ownership and we want them to be embedded in the clinics when they join in the roles that we have as well. So it was twofold, we wanted to make sure that we weren't wasting our managers time but also not wasting candidates' time, if we didn't feel like there was that correct fit there.

Once we introduced the Showreel Video feature we actually improved our stats from interview-to-hire. We went from hiring roughly 50% of people to hiring more like 80% of people following that Video interview. It just improves the overall screening process and we know that candidates are interested when they're submitting a video.

Tell us how the Essential Referencing integration helps you gain better insights into applicants?

L.

I've always found that written references are easier to obtain because typically people that are Referees, they're time poor individuals. They're hard to get hold of on the phone in the first instance, so being able to have an email that goes to the individual and allows the candidate to control what information they're sharing with us at that time, because referees can change from time to time, is a great time saver.

Essential Referencing integrated within Expr3ss! makes it easy from a compliance perspective.

At the end of the day, if you still want to have a conversation with one of the Referees once they filled out the Reference survey, there's no reason why you can't pick up the phone, have a chat with them, talk through some of the responses and get a bit more detail on one or two responses that they may have provided.

The fact that the Essential Reference feature allows us to set auto-reminders and send both the candidate and the Referee Notifications of this is outstanding. Then once a Reference Check is completed, we get a Notification of that so we can quickly act and make sure that we're not delaying an offer to that candidate, if we're really keen on getting them on board.

How does the Police Check integration assist in streamlining your hiring process?

L.

In the healthcare industry there are a lot of compliance measures that need to be ensured, such as Working with Children checks and Police Checks. So Expr3ss! is a no-brainer from a compliance perspective.

The ability for us to be able to pay for a Check on behalf of a candidate is really important from a job preview perspective. It allows us to demonstrate how we value our employees.

The fact that we can do this via Expr3ss!, it streamlines our invoicing and it reduces the need for expense forms to be submitted by our employees.

Prior to using the Police Check integration within Expr3ss!, our candidates were sourcing their own Police Checks once they started with us and would then need to submit a reimbursement form. So using Police Checks within Expr3ss! is just a no-brainer from a time saving perspective and it's such a clean and seamless integration.

Tell us how you use the Integrated Interview Calendar within Expr3ss!

L.

The Interview Calendar integration within Expr3ss! allows us to clearly see what our recruitment funnel looks like. How many candidates apply versus how many we phone screen, versus how many we interview and then how many we hire as a result.

It means that we can review those milestones, understand what our success rate is and what our strike rate is. Then we can reverse engineer how much work is required per hire and how much recruitment effort, in terms of hours of work, is necessary per hire. Our hiring managers allocate much of their admin time around very busy days, so it means that we can work with their availability and proactively book in candidates in line with their availability.

With the Integrated Interview Calendar in Expr3ss! we're not spending hours booking in one interview at a time, with the back and forth which can so often then occur between candidate and hiring manager.

The Interview Calendar within Expr3ss! saves us this time, providing us the control to allow candidates to navigate the booking process themselves and book in a time which works for them. 

We're using Expr3ss! to work smarter, not harder, as you say.

How do you manage your onboarding process with Expr3ss!Sign/JoinUs! Onboarding?

L.

When we introduced the Expr3ss!Sign/JoinUs! Onboarding feature into our recruitment process, I remember our HR officer at the time was so shocked and impressed at the same time by the value that it added with such a quick, flick of a button, basically.

I was honestly shocked as to how much value the Expr3ss!Sign/JoinUs! Onboarding feature has provided us, because it saves us all of the follow up previously required from our HR officer’s perspective. It means we receive all of our required  paperwork completed the second we’ve provided an offer to the candidate and saves us all of the time previously spent chasing documents.

We went from often waiting a number of weeks to receive all of a candidate's completed onboarding documents back, sometimes well after they had started working with us, to receiving documents back typically within hours of offer, once using the Expr3ss!Sign /JoinUs! Onboarding integration within Expr3ss!

I believe a big part of the reason candidates now provide documentation back to us so quickly is because the forms we have created with Expr3ss! are so easy to fill out.

Is there anything else you would like to share with us?

L.

I wanted to share how we use Expr3ss! and what stands out for me is the fact that Expr3ss! is our one-stop shop for anything recruitment wise.

I've used a number of different systems over my many years of recruiting and there are not many platforms out there that actually integrate so many different features as well as Expr3ss! does.

Expr3ss! takes so much effort out of having to check different portals, having to jump into one system to check references, log in to another system to check a Police Check outcome, access another system to check what their resume might be, and another system to check what the manager's availability is. So, the fact that Expr3ss! is able to be all-encompassing as that one-stop shop, makes it really unique.

Jones Radiology is an organisation that has a really big focus on continual improvement.  So we have always prioritised time as a team to ensure that we are maximising everything that Expr3ss! has to offer  and that it aligns with how we like to do business.

L.

Honestly it's the support we receive from the team at Expr3ss! and our dedicated Consultant is brilliant.  She is always responsive and if she is on leave, then whoever is covering for her is equally as responsive, to make sure that we're always refining how we use the platform to our advantage.

I love that Expr3ss! is so receptive to customer suggestions. Users can provide feature or process suggestions directly to the Expr3ss! team.

I once provided a really simple suggestion and the fact that within a week of providing that feedback, that function was available within Expr3ss!, not only for us, but for all their customers as well, is amazing.

So, I really appreciate how Expr3ss! partner with their customers in the market to ensure that they’re always refining the service on offer based on what their customers’ needs are. No question is off limits and no idea is a silly idea. How does Expr3ss! make that suggestion work for the customer? And how can other customers benefit as well? I really appreciate that approach.
